Adding/Editing an Appeal

The primary way to Add or Edit an Appeal is by going to the ADMIN tab on the main Donor Mine menu and looking for the 'Add/Edit Appeals/Mailings' link. (Low security level users do NOT have access to this feature.) This will give you an alphabetical list of all Appeals, with past appeals grayed out. Click on an appeal to edit it or add an appeal using any of the Add buttons on the page. To understand what we mean by Appeal (including events, calls, etc.), read this page.

Appeal Fields include:

  • Appeal Name - Give this appeal a descriptive name that is unique and contains a general idea of the date it went out. Examples are: 'Postcard - 2012 Spring,' 'Calling Campaign - 2011 Fall,' and 'Johnson Tea Party Email - Jan 2013' We suggest starting the name with the type of appeal it is (Postcard, Newsletter, Email, etc.) and then using the date. This will alphabetize things nicely as you get more and more appeals. In the examples earlier in this paragraph, we made an exception to this rule - The 'Johnson Tea Party' probably had multiple appeals (Email blast, mailed invite, wrap up email) and in that case we would name each of them so they start with 'Johnson Tea Party' so they would appear together on an alphabetical list.

  • Nickname - We don't want to limit the descriptive names you use on an Appeal's name, but often appeals need to appear in drop down menus where their is a space limitation. This Nickname field gives you a way to shorten the name to something that appears concisely on a drop down menu. This should be 25 characters of less ('Pstcd 12 Spg,' 'CallCamp 11 Fall,' 'Johnson Tea 13 Email,')

  • Dates to Display in Gift Wizard: - These are the dates when this appeal will appear 'active' throughout Donor Mine. More specifically, these are the dates when the appeal will appear as a choice on your Gift/Donation wizard. This should basically be the 'shelf-life' of the appeal. For a mailing this might be a month or two. For an email it might be 3 weeks. For some appeals that are pre-built in to your system (such as 'Website' or 'Matching Gifts') the appeal is set to be active for 100 years so it will always be there for you. Once these dates have expired, the appeal still exists, it just doesn't appear on most drop down menus.

  • Description - Write a brief description so other users of the database can better understand this appeal. This will only be visible when someone is editing the appeal but helps explain odd names or little-known appeals.

  • Staff Note - Another field you can use for something staff-oriented ('Used Kay Anderson for design, printed it through Broadway, it went out 2 weeks later').

  • Type - Choose which type best describes this appeal. Their is a 'not applicable' option for unusual appeals.

  • Always Bold in List - your list of current appeals that appear in the Gift/Donation wizard could get long over time. You can choose to bold those which are most popular so they are easier to see.

  • Costs & Qty - Use these fields to keep track of costs involved in this mailing and how many pieces were sent. This will be used to do a Cost-Benefit Analysis once you've entered data in some of these fields.


  • Adding Appeals during the Gift Wizard
    In case you forget to add an appeal before you begin receiving money from it, you can add an appeal 'on the fly' while you are entering the first gift you got from it. On step #2 of the Gift Wizard you will see a list of current appeals. You will also see an option to add a new appeal right there. Fill in the appropriate information based on the fields described above and your gift will be attached to this new appeal. Many, but not all Appeal fields are included in the Gift Wizard version, so you should edit your appeal later to fill in additional notes and costs.
