Section 02.03.
People Records

Overview
All 'Master' Records in the database are either a Household or an Organization. Each Household or Organization can have 1 to 1,000 People records attached to it. Each individual person is simply part of the Master Record. Donations, Grants, Sponsorships and Tickets are all attached to the Master Record (eg the Household or Organization), not to the individual Person record. Volunteerism, Board/Committee Membership, Emails, Phone numbers may all be Person-Specific but they will still be attached to a Master Record first and THEN to a Person on that Household or Organization.

Remember - A Household could be a single person living by themselves, a couple living together, or a family - any group of people to whom you would only send one mailing. So a Household Master Record may only have one Person Record on it - with the same name as the Household - but the Person record is still simply a 'part' of the Household Master Record.

Likewise an Organization may not have any People records attached to it if you don't know any individuals working there.




Why create People Records?
Because even though Volunteer Records, Board Records, Communications, and lots of other records are always attached to a Household or an Organization Master Record first, having individual Person Records allows you to determine exactly who on that Household or Organization specifically did something.

People records also allow you to keep track of where your constituents work.

People records allow you to give Username and Password access to Donor Mine™ to anyone you choose to allow in.

People records also have People Flags you can attach to allow you to better sort out the people on a Household or an Organization Master Record - if you have 6 people on a Master Record, it would be helpful to know which ones are the parents and which ones are the children.

Lastly, People records allow you to track volunteer skills so you can find potential volunteers in the future.




What other records connect to People records?
While all records in the database will connect to a Household or an Organization Master Record, some will also connect to a Person on that Master Record:
  • Addresses, Phone Numbers and Emails may optionally be attached to an individual Person record.

  • Board and Committee Records must be attached to a Person record.

  • Communications may optionally be attached to an individual Person record.

  • Notes may optionally be attached to an individual Person record.

  • Registration Records must be attached to a Person record.

  • Volunteer Records must be attached to a Person record.

  • Records that are NOT ever cross-connected to a Person Record are: Donations, Grants, Memberships, Tickets, Sponsorships, Sales or Auction Items.






  • Accessing People Records
    On the main Overview page of a Household or an Organization, you will see a list of all People who belong to that record. You can click on any of them to edit their individual information.

    Whenever you are in a Household or an Organization you can click on the purple PEOPLE button to access a list their People records. Each of these records will have a MORE link to allow you to view and edit additional details.
