are used to connect records in the database that have something in common that isn't recorded anywhere else.
If a
Household is a donor, you have that information in their
gift
records. If they volunteered last year, that's in their
Volunteer History. If they were sent a
mailing or called by a board member, all of that is in their
communication history. But what if they are a
potential large donor? Nothing in the system would tell you that they
might be able to donate a lot of money.
You can create Master Flags for a wide range of things specific to your mission and needs (for example - people who have been through your program, you could have a flag showing they are Alum. For media organizations your Master Flags might help sort out what types of organizations they are - Print vs. Radio, Local vs. National).
The key to Master Flags is that they should be something more or less permanent. Don't use a Master Flag to show who you sent a
mailing to; that is far too short-term of a flag (and besides, you can do that on the
Communication pages). Use the flags for long-term or permanent ways you want to group people.
The point of creating flags is so you can run reports and find everyone with that flag in the future. So create flags for anything you want to be able to run reports on later.
You can group Flags in to as many groups as you want. You can add and edit Flags and their groups from a link on the
ADMIN tab.
You should name Flags knowing that they will always display alphabetically. So rather than listing 'Current Student' and 'Former Student' which may have other Flags alphabetize in between them, name your Flags 'Student - Current' and 'Student - Former.'
Some Flags are pre-determined in the database and cannot be changed. They will always be grouped after your flags. These flags are used to denote people who are Donors, Volunteers, Board Members, etc. Because these are determined by other records in the database, you will never be able to select ro de-select them or to change their names.
At the top of the main Overview page of a
Household or an
Organization, you will see a summary list of all
on that record. To edit that list of flags, scroll down to the bottom of that page.
REPORTS on FLAGS
You can run reports on Master Flags in several different ways. Your HOME tab will likely have a list of the Flags from which you can click to run reports. Whenever you are in a
Household or an
Organization's record down in their Master Flag section you will see that each flag has a '#' sign that you can click on to view a report on that Flag. You will also see in both of these spots an option to run a special REPORT on Flags that will allow you to choose multiple Flags and other criteria to generate a report.
PEOPLE FLAGS
You can also create Flags specific to
People on a record. This will allow you to run reports on individuals attached to
Households or an
Organizations. These are NOT Master Flags, and have no connection to Master Flags. They are only connect to individual
People on a record and are useful only if you plan on running reports where the results would show you only one of the people on each
Household or
Organization.
