MAILING LISTS

Donor Mine provides you with many ways to pull and organize data and names. 'Mailing Lists' is a term used in Donor Mine for gathering names that you will be using for a TEMPORARY purpose. Nowhere in Donor Mine is there an actual Mailing List. Instead, when you run any report you have an option of viewing the names on the report as a Mailing List, an Email List or a Phone List. If all you want is a list of address, emails or phone numbers for a report you ran, then on the report, in the upper right corner, choose the OPTIONS link to find options to view the data you want.

HOWEVER, often when we think of a Mailing List we think of a list we want to put together, possibly from multiple reports, and mark in some way for future reference. That is easy to do, and it's okay to call it a 'mailing list' for easy reference.

On the main LISTS tab of Donor Mine, you will find a Mailing List section where you can simply pull the full current mailing list. If you want to mark them as having received a specific mailing/appeal, make sure to go in to the OPTIONS link of that report and mark them accordingly.

Also on the main LISTS tab of Donor Mine, you will find an option to 'Create Your own Mailing List.' This will walk you through building a report of your own to find names you want to mail to. Once again, if you want to mark them all as receiving a specific mailing/appeal, make sure to go in to the OPTIONS link of that report and mark them accordingly.

If these 2 options above don't give you what you want, here are some things to think consider:

There are 3 great ways to take a bunch of records and keep track of them to use in a mailing, email or for another purpose:

Creating Lists
1.) Mailing History / Appeals - every Household or Organization has a history of mailings/emails/appeals that have been attached to it. If you create a new appeal called 'Newsletter Fall 2015' and then mark a bunch of records as having received this mailing, than you essentially have a 'mailing list' you could look at in the future. All you have to do is use the Appeal pages and reports to find everyone who received that mailing.
Mass-marking everyone who received a mailing is easy - run a report, choose the OPTIONS link on the top of the report and one of the options will be to mark everyone on the report as having received an appeal/mailing.
If you want to build a complex mailing list, you can run report after report after report and just keep using the OPTIONS link to mark everyone on that report as having received that appeal/mailing. At the end of all your reports you will be able to run a report just on that appeal/mailing to find everyone's address, emails, or phone numbers.
REMEMBER - Running a report does not automatically mark all of the records on the list as having received something or having anything in common. But you have the ability to easily mark everyone on a mailing list has having received a communication, or give them a Master Flag.

2.) Master FlagYou can create a Master Flag as the basis for a list or report. This is useful if you are planning on using it long term (such as High Property Tax Donor Prospects) or if you want to be able to run additional analysis later (such as looking at giving each year for everyone who has that flag). Master Flags can be mass-added to all records on any report you run by choosing the OPTIONS link at the top of the report.

3.) Calling Lists - the Calling List module allows you to sort all records in the system on to one and only one Calling List each. This is a great way to track everyone who has given this year versus everyone who should give this year. This list option should be chosen carefully - because records can only be on one Calling List at a time, you want to plan ahead to avoid messing up any Calling Lists you have out there that might be useful.
